Recreation Commission Minutes 06/20/13
Evendale Recreation Commission
June 20, 2013

Called to order at 7:34am.

Roll Call: John Doviak, Gus Janszen, Pamela Meyers, Wayne Mosley, David Nichols, Katie Touvelle, and Stiney Vonderhaar. Absent: Georgia Bergan.

Recognition of Visitors:

Approval of Minutes:
A clarification was made regarding Gorman Heritage Farm and Griffin Preserve clean up days, noting Central Tool was contacted by Crossroads Church about volunteer work being done at Gorman Heritage Farm, not Griffin Nature Preserve.

Motion to approve the clarified minutes made by Stiney Vonderhaar; seconded by Wayne Mosley.
Motion approved.

Additions to the Agenda: none

New Business:
a. Cary Belyea, SwimSafe Pool Management
· Pool season is going well.
· Eighty-three children have taken part in the group swim lessons program.
· Justin Wolfenberg (former Evendale swim team coach) was hired to coordinate swim lessons and online safety training.
· Many of the guards know our children and their abilities. The other day, one of the guards had to perform a save from the deep end. Everyone is fine.
· Adult Morning Lap Swim is going well. The program takes place Monday, Wednesday, and Friday mornings from 6:00-7:30am.
· Nelson Holman is the manager this year; and is doing a great job.
· SwimSafe will be hosting pool games again this July 4th.
· The water leakage is about the same as last year; additional caulking will be done but the major leak seems to have been found and repaired.
· AquaFlex was applied to the ladies lavatory area and is receiving positive feedback. Budget permitting, David would like to apply AquaFlex to the zero depth area of the pool next year.

b. John McGovern, recreation accessibility consultants, llc and Kristen Maiden, Evendale Program Supervisor
· John founded recreation accessibility consultants, llc in 2008; and site reviews for ADA compliance is all the company does. Being ADA compliant is required by law, and being compliant is also good for all your patrons. Recreation accessibility teams work in pairs as a built in quality control. Online meetings, and a community input session, will also happen as part of this process. As long as one of each type of room, field, park, etc is accessible, a site is compliant with the law. Some items are easy to complete while other items are costly or will take time to complete.
· The recreation accessibility team identified 748 access deficits. Some of these deficits must be addressed by another department or during village construction projects. Adding or adjusting polices, door closure timing and maintenance, signage, adding additional information to the department’s website are some of the items the recreation staff can do.  The report suggests phasing in improvements (simple suggestions without major budget effects, amenities such as pool work, fields, more space in the fitness center, complex and costly items or items which fall under non-finalized standards).
· Kristen Maiden added that some items found by the recreation accessibility team have already been implemented (i.e., signage with contact information for assistance getting up to soccer field #4, handicap accessible port-o-lets on the fields, and a lift is placed poolside during the pool season).
· David stated maintenance weekend in August will include moving fitness equipment for better accessibility.
· We have met a couple of special needs requests this summer in our Fun in the Sun and swim team
programs

Old Business:
a. Lifestyle Essentials – as noted in the packet
· Gus has observed the evening staff being out from behind the desk and working with patrons more often.
· Lifestyle personnel have been working with our Fun in the Sun program on a running program and a zumba class.
b. Bike Master Plan
· Finalized next month, with cost projections.

Director’s Report:
· Challenger Soccer camp has 27 kids participating making this one of the biggest years ever. The trainers work with our coaches in exchange for Evendale hosting the Challenger camp.
· Fee Subcommittee established with members: Stiney Vonderhaar, Gus Janszen, Wayne Mosley, and David Nichols.
· Budget Subcommittee established with members: Stiney Vonderhaar, Katie Touvelle, Wayne Mosley, and David Nichols.

Phi Lambda Pi Report:
· Approximately 20 members attending weekly.
· Activities have included a night at the pool, a trip to Don’s Creamy Whip, and flag football.
· A new grill was purchased for the concession stand.
· Next week, the teens will begin decorating the game booths for the July 4th Carnival.
· A trip to Gatlinburg will take place in late July.

Open Discussion:
· Stiney Vonderhaar passed along a Bike Friendly Destination Award the village had recently received.
· The Cultural Arts Center was recently featured on the front cover the Enquirer Hometown section.
· Adult Soccer has had about thirty players over the last two weeks. A lot of the fathers are bringing their sons to play. Gus noted soccer field #4 needs catch nets placed behind the field end lines/soccer goals to keep soccer balls out of the woods.
